What we do with your information

Short version: we collect what a rental needs, we use it to get you your equipment, we keep it in Google’s cloud, and we do not sell it or share it with anyone who is not part of getting the job done.

Who is responsible for this

One person runs Kempenfelt Rentals, and that person is accountable for the information it collects. He is the one who reads every booking request and he is the one who answers a privacy question. Email kempenfeltrental@gmail.com and it reaches him — 7 days a week, 7am–7pm.

What we collect

When you send a booking request we ask for:

  • Your name and mobile number — so we can text you back to confirm.
  • The unit and the dates you want.
  • The delivery address and town, if we are floating the equipment to you.
  • An email address, only if you choose to give one. The booking works without it.
  • Whatever you write in the notes, including what the job is.

Our booking system also records the technical basics that come with any web request — a timestamp, the browser you used, and a one-way hash of your IP address that we use only to stop the form being flooded by bots. We do not store the address itself, and the hash cannot be turned back into one.

What we never collect: card numbers. There is no card processor here and there never has been — deposits move by Interac e-Transfer — so there is no card number to store, and nobody at Kempenfelt Rentals will ever ask you to leave one on file or read one out over the phone.

Why we need it

To confirm your dates, quote your delivery, get the equipment to the right driveway, reach you if something changes, settle the deposit, and keep the business records the Canada Revenue Agency requires us to keep. That is the whole list. We do not build profiles, we do not run ad trackers, and we do not add you to a mailing list — there is no mailing list.

Texting you

Booking with us means we text you about your rental: confirming it, telling you when the truck is on the way, and sorting out the deposit. Those are the messages the rental itself needs, and they are the reason we asked for a mobile number. We do not send marketing texts. If you would rather we did not text you at all, tell us and we will use email instead — though a text thread is how this business actually works.

Who else sees it

The owner. That is who reads every request, and nobody else works here. Beyond that, the only party that touches your information is Google, which stores and processes it on our behalf as our supplier — it does not use it for its own purposes.

Where it physically sits matters, so here it is. The booking database is Google Cloud Firestore in the nam5 multi-region, which is in the United States. The code that receives your booking runs in Google’s Toronto region, and the file storage is in Toronto as well, but the booking records themselves are kept in the US. While information is there it is subject to United States law, which means a US court or agency could compel access to it. We are telling you because you should get to decide whether that matters to you. It is an ordinary arrangement for a small Canadian business, and it is still your call.

When you give us an email address, the confirmation email goes out through our email provider. The only other time information leaves here is if the law requires it — a court order, or an insurance claim after an incident involving a rented unit. Nobody buys, rents or receives your details for marketing, ever.

How we protect it

  • The booking database is locked down by server-side rules. The public can read the equipment list, the rates and the availability calendar. Nobody but the owner can read a booking.
  • Bookings can only be created through our own server code, never written directly by a browser.
  • The admin account is protected by a password and a permission flag that has to be granted deliberately from a developer machine. There is no self-signup.
  • No advertising or tracking scripts run on this site, so there is nothing to leak to a third party in the first place.

Cookies

This site does not use advertising or tracking cookies, and there is no consent banner because there is nothing to consent to. Your browser may keep a small amount of local storage so a half-finished booking request survives a refresh; that stays on your device and is never sent anywhere but with the request you choose to send.

How long we keep it

Booking records are business records, and the Canada Revenue Agency expects those to be kept for six years from the end of the tax year they relate to — so completed rentals stay in the books that long. Requests that never turn into a rental are cleared out once they are clearly stale. Ask us to take your contact details out sooner and we will.

Your information is yours

Ask us any time what we have on file about you and we will tell you, in writing, within 30 days. Ask us to correct something that is wrong and we will fix it. Ask us to delete your contact details and we will — email kempenfeltrental@gmail.com and say what you want. There is no charge for any of it, and if a request is one we cannot fully act on we will tell you why rather than going quiet.

One honest limit: we may have to keep the financial record of a completed rental for the retention period above, because the CRA requires it. Your phone number, email and address can still come out of that record, and will.

If something goes wrong

If information here is ever lost, stolen or seen by someone who should not have it, we write down what happened, work out how much harm it could do, and where there is a real risk of significant harm we report it to the Privacy Commissioner of Canada and tell the people affected — directly, and quickly.

If you think we have mishandled your information, tell us first. We would rather fix it than have you find out from someone else, and a one-person business can actually fix things quickly. You can also complain to the Office of the Privacy Commissioner of Canada at priv.gc.ca, at any point, whether or not you have raised it with us.
